Privacy Policy

TAK! TEXT — Audio and Video Transcription Service

1. Introduction

This Privacy Policy ("Policy") governs the collection, processing, and protection of personal data by the TAK! TEXT service ("Service", "we"), a Telegram bot for audio and video transcription.

By using the Service, you ("User") agree to the data processing practices described in this Policy. If you do not agree with this Policy, please discontinue use of the Service.

This Policy is developed in accordance with the General Data Protection Regulation (GDPR) (EU) 2016/679 and other applicable data protection legislation.

3. Categories of Personal Data Collected

3.1 Data from the Telegram Platform

  • Telegram User ID — a unique numeric identifier for service operation and subscription management
  • Username — for display in the interface (if provided by the user)
  • Language preferences — for Service localization

3.2 Data from the User

  • Audio and video files — submitted for transcription
  • Text messages — commands and interactions with the bot

3.3 Technical Data

  • User settings — interface language, display currency
  • Usage statistics — minutes used, subscription status
  • Transaction records — payment confirmations for plans and minute packages (payment card details are not stored)
  • Referral code — when participating in the referral program

5. Data Retention Periods

  • Audio/video files: Deleted immediately after processing (typically within minutes)
  • Transcription results: Stored for 24 hours to allow downloading and AI features, then automatically deleted
  • Account data: Stored while the account is active; deleted upon request
  • Payment records: Retained in accordance with tax and accounting legislation requirements

6. Data Sharing with Third Parties

We do not sell, rent, or trade your personal data. Data may be shared with the following categories of processors:

6.1 Service Providers

  • Speech recognition providers (EU and USA) — for transcription processing. Audio data is transmitted via encrypted channels and processed in streaming mode in accordance with Data Processing Agreements (DPAs).
  • AI providers (USA) — for summary, translation, and analysis features. Text data is transmitted via encrypted channels.
  • Payment systems — for payment processing. Payment card data is processed exclusively by payment providers and is not stored by the Service.
  • Hosting provider (EU) — for application and database storage.

Under our agreements with providers, user data is not used for training AI models.

6.2 Legal Requirements

We may disclose data when required by law, court order, or government authority request.

7. Data Security

We implement appropriate technical and organizational measures to protect your data:

  • Application servers and databases are located in the European Union
  • Encrypted data transmission (TLS 1.2+)
  • Encrypted storage of personal data and transcriptions
  • Access controls and authentication
  • Regular security reviews
  • Automatic deletion of processed files
  • Anonymized logs — logs do not contain transcription content or personal data

8. Your Rights Under GDPR

As a data subject, you have the following rights:

  • Right of access (Art. 15) — request a copy of your personal data
  • Right to rectification (Art. 16) — correct inaccurate data
  • Right to erasure (Art. 17) — request deletion of your data ("right to be forgotten")
  • Right to restriction (Art. 18) — restrict processing of your data
  • Right to data portability (Art. 20) — receive data in a structured format
  • Right to object (Art. 21) — object to processing based on legitimate interest
  • Right to withdraw consent (Art. 7(3)) — withdraw consent at any time

9. Data Deletion

You may request complete deletion of your account and all associated data at any time by contacting us at privacy@taktext.com or via @taktext_support_bot.

Upon receiving a valid deletion request, we will:

  1. Delete all personal data within 30 days
  2. Confirm deletion in writing
  3. Retain only data required by law (e.g., financial records)

10. Children's Privacy

The Service is not intended for users under the age of 16. We do not knowingly collect data from children. If you believe a child has provided us with personal data, please contact us for its deletion.

11. International Data Transfers

The Service's application servers and databases are located in the European Union.

Speech recognition in "Speed" mode is performed using infrastructure located in the European Union. Audio data does not leave the EU in this case.

To perform certain functions (speech recognition in "Quality" mode, fallback processing, AI features), data may be transferred to processors located outside the EU/EEA, including the United States. In such cases, we ensure appropriate data protection safeguards, including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Data Processing Agreements (DPAs) with each processor
  • Processor certification under the EU-US Data Privacy Framework (DPF) and/or SOC 2

Audio data is transmitted exclusively for transcription and is processed in streaming mode. For AI features (summary, translation, Q&A), only text is transmitted to the processor, without audio data.

12. Changes to the Policy

We may update this Policy from time to time. Significant changes will be communicated through the Service. Continued use after changes constitutes acceptance of the updated Policy.
